Developed for Gillis Sales, a firm with over 20 years of experience in hotel sales, GillisOS scans the market for signs that a company will need hotel rooms, identifies the right people to contact, and sends them personalized outreach emails automatically.
The Challenge
When a hotel wants to attract more corporate clients, someone has to go find them. That means figuring out which companies have employees traveling to the area, tracking down the right contact at each company, and sending a compelling email introducing the hotel. It's time-consuming, research-heavy work, and it has to be done at high volume to generate results.
The sales team at Gillis Sales was skilled at developing relationships with prospects once the conversation started. The harder problem was generating a large number of prospects quickly. Their hotel clients wanted to see early momentum, and building that momentum through manual research and outreach simply took too long.
Gillis Sales was also growing. The natural solution to needing more outreach was hiring more people, but that approach has limits. The team needed a way to scale their output without continuously expanding their headcount.
The Worker
GillisOS works as a dedicated outbound sales specialist for every Regional Director of Sales at Gillis Sales. A Regional Director of Sales (RDOS) is the person responsible for bringing new hotel clients into the business. The worker is built on the knowledge and sales philosophy of Tammy Gillis, the founder of Gillis Sales. Her approach, developed over two decades and documented across hundreds of materials including her own book, shapes how GillisOS communicates and which opportunities it pursues.
- Finding signals: An RDOS tells GillisOS which hotel to focus on. GillisOS then searches within a five-mile radius of that hotel for signs that companies will have people traveling to the area. These signals include construction projects, government contracts, corporate expansions, tourism activity, and similar indicators. Each signal represents a potential reason for hotel bookings.
- Identifying prospects and writing outreach: Once GillisOS identifies a relevant signal, it finds the specific companies and individuals connected to it. It then writes a personalized email for each prospect, referencing what that person's organization is working on and why the hotel could be a good fit. These emails are sent through a persona called Sam, an AI personality designed to communicate in a warm, knowledgeable, and professional way.
- Routing and follow-up through Salesforce: All activity is connected to Salesforce, the customer relationship management platform Gillis Sales uses. Tasks and follow-ups are created automatically. When a prospect responds, they are routed to the right human sales rep so the conversation can continue naturally.
GillisOS gives RDOS professionals the ability to reach a much larger number of prospects without spending their time on research. It handles the outreach so they can focus on the conversations that matter most.
The Impact
GillisOS started generating leads within the first few days of launching, which exceeded expectations. Conversion rates have ranged from 5 to 8 percent depending on the hotel, a strong result for this type of cold outreach.
What surprised the team most was not just the volume of responses, but the quality of them. Prospects were engaging with Sam as though they were corresponding with a real person. The first reply the team received was a prospect addressing Sam by name and asking to set up a call.
